By interacting with us and submitting information to us, you agree and consent to Ocean IFM as well as its representatives collecting, using and disclosing among themselves your personal data. This notice applies to any person who provides us with personal data or whose personal data is otherwise collected, used or processed and disclosed to us.
Personal data refers to data, whether true or not, that can identify an individual from that data or from that data and other information to which we have or likely to have access. The personal data we collect may vary depending on the nature of your interaction with Ocean IFM. It may include:
- Name, identification number, nationality, contact details, job title or business contact information
- Billing, bank account, or transaction details provided in the context of service engagements
- Job application matters such as resumes, education history, employment background references, and other supporting information
- Photographs or audio-visual material captured in business or recruitment settings
- Technical or usage data from your interactions with our website or platforms
The above data may be provided directly by your authorized representative or collected from third parties where appropriate.

COLLECTION, USE AND DISCLOSURE OF PERSONAL DATA
- We may collect and use your personal data for any or all the following purposes:
- as required by the applicable laws and complying with them, including regulations, codes of practices and guidelines
- assisting in law enforcement and investigations conducted by any governmental and/or the regulatory authorities
- verifying your identity
- responding to, handling, and processing queries, requests applications, complaints, and feedback from you
- performing obligations during or in connection with our provision of the goods and/or services requested by you
- processing payment or transactions
- considering applications for employment which include pre-recruitment checks based on employee’s references and information for other related purposes.
- verifying your identity or monitoring your activities including without limitation via video surveillance observation and /or recording
- any other purposes for which you have provided information
- transmitting to any unaffiliated third parties including our third-party service providers, and relevant governmental and/or regulatory authorities in Singapore, for the above purposes and
- any other incidental purposes related to or in connection with the above.
- We may disclose your personal data:
- where such disclosure is required for performing obligations during or in connection with our provision of services requested by you; or
- to third party service providers, agents and other organisations we have engaged to perform any of the functions listed above for us.
- to any relevant party where it is considered that, failing to do so, may jeopardise the immediate health and safety of you or any other person, or the safety and integrity of the structures and property managed/maintained by us.
- Your personal data will not be disclosed to any other parties, unless we have obtained your consent or are legally required to do so.
STORAGE AND PROTECTION OF PERSONAL DATA
- We take reasonable efforts to safeguard your personal data to prevent unathorised access, collection, use, disclosure, copying, modification, disposal or similar risks. We have in place appropriate internal processes as well as only disclosing personal data both internally and to our authorised third party service providers only on a need-to-know basis.
- You should be aware, however, that no method of transmission over the internet or method of electronic storage is completely secure. While security cannot be guaranteed, we strive to protect the security of your information through constant reviewing and enhancing existing security measures.
ACCURACY OF PERSONAL DATA
- We rely on personal data provided by you (or your authorised representative) to ensure that your personal data is current, complete and accurate.
- Please update us if there are changes to your personal data by informing us in writing or via email at the contact details provided below in Paragraph 11.
RETENTION OF PERSONAL DATA
- We may retain your personal data for as long as it is necessary to fulfil the purpose for which it was collected, or as required or permitted by applicable laws.
- We will cease to retain your personal data which we no longer require and will securely dispose of it, anonymise it or remove the means by which the data can be associated with any individual.
TRANSFER OF PERSONAL DATA OUTSIDE OF SINGAPORE
- We generally do not transfer your personal data to countries outside of Singapore. From time to time, your data may be processed by Ocean, its working partners and third parties providing services to Ocean in jurisdictions outside Singapore.
- In this event, we will take reasonable steps to ensure that your personal data continues to receive a standard of protection that is at least comparable to that provided under the PDPA.

- We charge a reasonable administrative fee for access requests and if so, you will be informed of the fee before we proceed.
EFFECT OF NOTICE AND CHANGES TO NOTICE
- This Notice applies in conjunction with any other notices, contractual clauses and consent clauses that apply in relation to the collection, use and disclosure of your personal data by us.
- We may revise this Notice from time to time without any prior notice. You may determine if any such revision has taken place by referring to the date which the Notice was last updated. Your continued use of our services constitutes your acknowledgement and acceptance of such changes.
